Daily Duties at Winter Wyman/A123 Systems :

• Meet/greet visitors, candidates, employees from other sites. • Answer and route calls coming into the Hopkinton site. • Work with fax/printer/copier vendors/facilities maintenance to maintain uptime and building functions. • Sign for and route all daily incoming packages. • Coordinate travel arrangements for senior team, candidates and customers as needed. • Maintain A123 HR e-mail inbox. • Schedule candidates as needed, prepare and distribute interview packages, set up meeting rooms, reschedule as required. • Set up new hire cubes/offices for 1st day of employment. • Maintain Hopkinton site phone list. • Print/post daily conference room schedules. • Manage business card requests for employees. • Assist office manager with Hopkinton events as needed. • Care for kitchen, order food, beverages, paper goods and cutlery, on a daily/regular basis. • Order office supplies and monitor inventory on a regular or as needed basis. • Maintain mail slots, distribute mail and assist with outgoing express mailings as needed. • Backup to Office Manager as needed.
