1991 – 1996 – Legal Administrative Assistant Worked as legal administrative assistant to in-house counsel. Prepared all mortgage, loan, sales, merger and acquisition documentation of commercial property. Managed and maintained all files in the legal department, purchasing of all office supplies as well as stock room. 1996 – 1999 – Office Manager / Executive Assistant to President Promoted to work directly under the owner, President & CEO. Trained to think outside the box in order to research and gather pertinent and highly confidential information from news articles, internet, periodicals and miscellaneous publications for his consideration which assisted in his ability to plan for the future of the company. 1999 – 2006 – Executive Assistant to President / Research & Development Collected miscellaneous internal reports from accounting and leasing departments to gather specific information for various reporting to President. As the company grew and expanded, worked along side President assisting in the initialization and eventual turning over of all new business practices. Position required that I act as an ‘ambassador’ in order that I may set a corporate example as presented in the handbook as well as encourage employees to voice their concerns, ideas and questions. I would then meet and discuss with the President. • Account manager for all corporate charge accounts. Managed and maintained, with no supervision, owner’s personal checking and money market accounts with full authorization to process payments, transfers, etc. • Responsible for all corporate travel arrangements, international and domestic, including airlines, hotels and auto rental. • Worked independently with delegated authority to coordinate and formulate decisions on matters affecting management and administrative support services. • Responsible for performing, providing, obtaining or advising on a variety of management services essential to the operation of the corporation. • Analyzed and evaluated office operations and organization and prepared findings for presentation to the President and assisted in the implementation of changes to establish, eliminate, improve, or redistribute office functions, work processes and methods. • Accountable for all human resource responsibilities. Played an integral part in the creation of employee handbook and updated administrative procedures that support personnel actions and employee relations issues. Planned and coordinated administrative activities to ensure consistency and compliance with all company policies and guidelines. • Responsible for the maintenance of all corporate insurance policies (i.e. health, property, liability and umbrella). Negotiated directly with insurance companies and agents and worked as liaison between employees and specific agencies. • Developed planning and guidance for accomplishment of assigned administrative services. Created, maintained and monitored integrated reporting systems that affected procedures throughout the corporation. • Responsible for supervising the maintenance and upkeep of all corporate vendor and client contact information to insure accurate mailings as well as the creation, ordering and distribution of all holiday gifts and cards for corporate business associates and clients. • Responsible for creation, supervised distribution as well as work as liaison to outside sources in connection with all marketing materials for the company, including content for company website.
