Daily Duties at Mta Long Island Railroad:
Executive Assistant - VP of Transportation * Provide secretarial and administrative support to 5 senior level managers and 25-40 employees * Perform receptionist duties; answering multi-line switchboard system * Prepare spreadsheets and graphic presentations using PowerPoint and Excel * Generate weekly progress reports and engineering reports * Create, generate and finalize technical documents (i.e. reports and drawing submissions) * Maintain and update client databases using Microsoft Excel and Microsoft Access. * Photocopy and fax documents * Perform telephone follow-up to arrange meetings and keep work flowing * Order periodicals and brochures using the databases * Coordinate mailings using internal resources * Screen all calls and circulate to appropriate managers, or obtain information and personally handle the call * Focus on meeting deadlines in a timely and orderly fashion * Maintain meeting calendars and itineraries for senior level management * Act as an liaison for Vice President and assist others in his absence * Type memos, letters and other correspondence as needed * Prioritize mail (read, route and distribute to VP, Deputy Project Manager, Project Manager and two floors of existing employees) * Assist in open house (creating brochures, logging in RSVP's, etc.) * Review, obtain approval and process timesheets and travel expense forms * Supervise and assign the day-to-day workload to three secretaries, ensuring office/administrative procedures are followed (according to the QA procedures issued to our department) * Route important / confidential calls to appropriate senior management * Coordinate requests for supplies, office equipment (furniture) and repair services as needed Technical Editor - Project Management Team * Acquired working knowledge of formats and variations used in standard reports and proposals * Enter data accurately for technical reports and proposals * Read and interpret editorial and proofreading marks. * Type tables and equations with proper spacing * Verify final printout for conformance to specifications and standards * Follow proofreader and editor symbols to enter document corrections * Read and edit material for accuracy, style, and publishing appeal, and recommended and made changes where necessary within the province of an editor * Read, proof and/or supervised reading of proof * Confer with technical writer on policies and plans * Collect data and prepared reports as assigned * Perform other related duties as assigned * Act as liaison for technical writer * Research standards, codes and referenced technical documents via the Internet or through hard cover documents. * Format, type, edit, reviewed and back-checked technical specifications. * Coordinate and facilitate the movement of the documents through the production, editing and quality assurance process, acting on behalf of the Technical Writer. * Coordinate staff and work in order to produce high-quality documents within deadlines.
