*As Executive Administrative Assistant/Office Manager • Supported Owner/President as well as staff Architects, Drafters and Interior Designers. • Managed Mr. Hall’s calendar (coordinated and confirmed client meetings, reviewed schedule, input handled Timekeeper for Controller). • Renewed TEH licenses for Owner and AIA members, obtained and updated AIA documents. • Maintained job tracking report database for all project proposals; assigned new job numbers; tracked job status; dispensed proposals for signatures; followed up on un-signed proposals; copied signed documents and Purchase Orders to Controller and Project Manager. • Managed office including “Contacts” database, staff contact list, correspondence (letters, memos, faxes, e-mails, incoming and outgoing mail, etc), supply and equipment orders, organization and archival of projects, and facilitation of all building and ground maintenance. • Controlled petty cash, AMEX and VISA use, retaining all receipts for month-end invoicing. * As Human Resources/Benefits Administrator • Coordinated staff performance reviews; tracked salary history; supplied employees with review forms. • Placed employment ads; reviewed incoming resumes; forwarded to appropriate hiring manager; scheduled interviews; issued offer letters along with pertinent benefits information. • Ensured required forms were completed by new employees; issued office keys; assigned security codes for alarm system. • Enrolled/removed employees and family members from health, dental and vision coverage; assisted with claim issues; ordered insurance cards; acted as liaison between employees and Insurance Rep; provided updated insurance information as necessary. * Realty Responsibilities for TEH Properties • Assumed responsibility for management of several residential and commercial rental properties; placed “For Rent” ads; presented spaces to potential renters; addressed arising issues for tenants at their locations (maintenance, repair, animal control, etc); acted as contact for all tenants • Coordinated and ran 2-month auction for 90+ people to sell appliances and fixtures from property scheduled for demolition (included night and weekend appointments to show potential buyers through property). • Assisted Mr. Hall in development, marketing, and designing of Allaire, an 18-unit upscale luxury condominium building scheduled to be completed in ’08; revised Allaire’s spec book; compiled lists of Bankers, Realtors and Developers as potential contacts for this project; collaborated with team to create Allaire’s marketing package; designed Power Point sales presentation for use at Allaire’s Preview Party; mailed marketing packages to prospective buyers.
