Daily Duties at Miller School Of Medicine:

Job Summary: The Warehouse Manager for Materials Management will report directly to the Director of Materials Management and be responsible for but not limited to overseeing all daily receiving, distribution and purchasing functions at the warehouse facility and all Mail Room services in addition to the supervision of up to eight employees. Customer Service: 1. Promotes customer driven skills for employees to improve their ability to deliver service. 2. Develops plans to improve and initiate service standards. 3. Demonstrates the ability to perform all duties in a courteous, prompt and professional manner. 4. Interacts with fellow employees in a considerate, helpful manner that exemplifies teamwork. 5. Acknowledges all problems, complaints and issues and attempts to resolve them immediately. Follows up on all phone calls and e-mail requests in an expeditious and courteous manner. 6. Is responsive to internal and external customers following through on all requests to assure completion of issues. Management Responsibilities: 1. Directly supervisors up to eight employees including overseeing the hiring, evaluating, and disciplinary action when necessary. 2. Responsible for scheduling staff to ensure adequate coverage. Monitors employee’s attendance and productivity to assure that all University policies and procedures are adhered to. Reports any concerns to the Director of Materials Management. 3. Responsible for reviewing and updating of the Kronos Payroll System, for the Distribution and Receiving departments. 4. Assists in the development, reviewing, and monitoring of all department policies and procedures. 5. Acts as a liaison between the staff to address receiving and distribution issues and to assist with the monthly reconciling of any discrepancies. 6. Oversees the maintenance of the warehouse and equipment in accordance with established safety policies. 7. Oversees the entire receiving function and all aspects of the daily process. 8. Responsible for spot audits to verify the accuracy of the packing slips of all orders received. Notifies appropriate staff of any shortages or overages in shipment. 9. Reviews all inventory levels and adjusts to maintain adequate inventory turns. Recommends removal of obsolete and slow moving items. 10. Oversees the deliveries all supplies and equipment received to the appropriate departments on a timely daily basis. 11. Oversees the asset control process, documenting the removal and transfers of equipment according to University policies and procedures. 12. Responsible for the annual fiscal year end inventory and periodic cycle counts. Explains variances and adjustments. 13. Responsible for the daily supervision of the mail room services. Oversees the Fed-Ex, UPS and postal services deliveries, assuring timely delivery of packages and returns. 14. Responsible for performing other assignments as requested by the Director of Materials Management. 15. Communicates with the Department Director to resolve supply and distributions issues and assist with the implementation of material management practices. Additional Responsibilities 1. Ensures the daily operation of the Material Management software system as it related to the inventory function. 2. Maintains knowledge of upgrades and changes to the software system to assure proper training to staff. 3. Maintains service levels and fiscal operation of the warehouse. Provides monthly statistics and addresses variances. 4. Reviews and updates employee’s job descriptions annually. Physical Demands: Must be able to walk, lift, bend, push and pull. Qualifications: Four Year College Degree Preferred. Previous warehouse and supervisory experience required. Must be computer literate. Must have a valid Florida driver’s license.
